Operations Admin Executive

Administrative Tasks (80%):

• Serve as the main point of contact for correspondence, phone calls, and liaising with staff, suppliers, and clients. 
• Manage databases, filing systems, and administrative procedures.
• Research and negotiate with suppliers, prepare payments, and manage purchase orders, invoicing, and expense claims. 
• Maintain stock lists and order office supplies as needed.
• Assist in preparing and organizing documents, reports, presentations, meeting agendas, and notes. 
• Support event planning and logistics, including catering arrangements.
• Oversee office operations such as equipment maintenance, corporate reporting, record-keeping, and handling special deliveries. 
• Provide general administrative support to ensure smooth day-to-day operations of the office.

Operations tasks – related to pet relocation (20%):

• Collect and verify client documents and details and make sure they comply with requirements from airlines and handling agents.
• Handle any unforeseen situations during the relocation execution
• Build good connections with government departments, and facilitate the process of applying for and issuing of documents related to import and export in a timely manner.
• Arrange transportation to and from vet hospital, government office, client residence, as well as other locations when needed.
• Support the Head of Department on various tasks outside your main job scoop when asked to.
